Welcome to the rule book for our studio, written to protect both you and us. Please read these terms and conditions carefully before hiring Havana Haus.
By booking Havana Haus (the “Studio”) or any of our in-house creative services (Photography, Videography, Styling), you agree to the following Terms & Conditions. These apply to all bookings, regardless of how the booking was made (online, email, invoice, or direct request).
Full payment is required upfront to secure any studio booking.
Bookings are not confirmed until payment is received.
Full payment for both studio hire + creative services is required upfront to secure your date and your creative.
Creatives are booked exclusively for your scheduled time. Havana Haus cannot rebook them last-minute, which is why fees apply (see below).
Studio Hire Only
Reschedules with 7+ days’ notice: no fee.
Reschedules within 7 days of your booking: subject to a $50 reschedule fee, payable before a new date is confirmed.
Reschedules must be completed within 60 days of the original booking date. After this time, a new booking and full repayment will be required.
In-House Creative Services
Reschedules with 7+ days’ notice: permitted without penalty.
Reschedules within 7 days: subject to a $50 reschedule fee plus a 20% creative fee, which covers the creative’s blocked time and lost earning capacity.
Rescheduled bookings must be rebooked within 60 days.
Studio Hire Only
Cancellations with 7+ days’ notice: 90% of the booking fee is refundable.
Cancellations within 7 days of the booking: strictly non-refundable.
Seasonal Photoshoot Offers & Event Tickets
Seasonal photoshoot offers (including, but not limited to, Christmas Minis, specialty set designs, and promotional shoot days) and all Havana Haus event tickets are strictly non-refundable.
Tickets and seasonal offers may not be cancelled or refunded for any reason, including change of mind, scheduling conflicts, or travel issues.
If you cannot attend, you may transfer your spot to another person by notifying Havana Haus in writing at least 48 hours prior to the scheduled time.
Transfers are not guaranteed within 48 hours of the booking due to operational requirements.
No credits, reschedules, or partial refunds are available for these offers.
This policy ensures the studio, creative team, and event partners are protected during high-demand periods where time slots cannot be reallocated.
In-House Creative Services
To protect our photographers, videographers, and stylists whose schedules cannot be rebooked on short notice:
Cancellations with 7+ days’ notice: * 50% of the total fee is refundable.
50% is non-refundable and covers the creative’s reserved time.
Cancellations within 7 days: * 100% of the fee is non-refundable (studio hire + creative fee).
Your booking time begins and ends at the scheduled time, regardless of your arrival.
Overtime is subject to availability and will incur additional fees charged at the current hourly or half-hour rate.
If your session exceeds the booked timeframe, overtime is charged in 30-minute increments.
Overtime is subject to studio availability and must be approved by staff.
Props: All props must be handled with care. Damage/replacement fees apply for any breakage or misuse.
Smoking: No smoking or vaping inside the studio.
Pets: Pets are welcome but must be supervised and cleaned up after. No pets allowed on fabric furniture due to allergies.
Cleanliness: Leave the studio in the same condition you received it. A cleaning fee may apply otherwise.
You are responsible for all persons, equipment, and belongings brought into the studio during your hire.
Any damage to the studio, equipment, or props will be charged to the hirer at full repair or replacement cost.
Havana Haus is not liable for injury, loss, or damage to personal property.
Havana Haus may share behind-the-scenes content captured by staff for promotional purposes unless a privacy request is made in writing prior to your booking.
Creatives own the copyright to any content they produce unless otherwise agreed in writing.
Cancellations due to weather follow the standard cancellation policy listed above.
Details for parking, building access, and bump-in/bump-out will be provided upon booking. Please arrive on time to allow for smooth entry.
By paying your invoice or completing an online booking, you confirm that you have read, understood, and agreed to all Havana Haus Terms & Conditions.
